Privacy Policy

This policy explains what information Cloud Ninja Dev collects when you visit our website or use our services, how we use it, and what rights you have over your data.

Last updated: 21 April 2025

Plain English summary: We collect only what we need to run this website and serve our clients. We don't sell your data. We don't share it with advertisers. We use reputable third-party tools (analytics, email) and list them clearly below. You can ask us to delete your data at any time.

01

Information We Collect

We collect information in two ways: directly from you, and automatically when you use our website.

Information you provide directly

  • Contact form submissions — your name, email address, phone number, company name, and the message you send
  • Project enquiry details — budget range, timeline, services you're interested in, and project description
  • Email correspondence — any emails you send us and our replies
  • Booking information — if you schedule a call via our booking tool (Cal.com or similar)

Information collected automatically

When you visit our website, our hosting and analytics tools may automatically collect:

  • IP address and approximate geographic location (country / city level)
  • Browser type and version, operating system, and device type
  • Pages visited, time spent on pages, and how you navigated to our site
  • Referring URL (the site you came from before landing here)
  • Date and time of your visit

We do not collect payment card numbers or financial information directly. If a project requires payment, we use a third-party payment processor (such as Stripe or Razorpay) who handles that data under their own privacy policy.

02

How We Use Your Information

We use the information we collect for the following specific purposes:

  • To respond to your contact form or email enquiry, typically within 4 business hours
  • To understand your project requirements and provide an accurate proposal
  • To schedule and manage discovery calls or project meetings
  • To manage ongoing client projects, including sharing files and project updates
  • To send project-related communications — status updates, invoices, and delivery confirmations
  • To improve our website based on how visitors use it (using anonymised analytics)
  • To comply with any legal obligations we have as a service provider

We do not use your information for unsolicited marketing, advertising targeting, or any purpose beyond what's listed above. If you become a client, we may occasionally send you relevant updates about our services, but you can opt out at any time.

03

Data Sharing & Disclosure

We do not sell, rent, or trade your personal information to any third party, ever. We share information only in these limited circumstances:

Service providers we use

We use a small number of trusted tools to run our business. Each handles data under their own privacy policies:

  • Vercel — website hosting and edge delivery
  • Google Analytics (or Plausible) — anonymous website usage statistics
  • Resend / Nodemailer — transactional email delivery for contact form responses
  • Cal.com — scheduling tool for discovery calls
  • Notion / Linear — project management (client details may be stored here during active projects)
  • Stripe / Razorpay — payment processing for invoices (if applicable)

Legal requirements

We may disclose your information if required to do so by law, court order, or a request from a government authority — for example, in response to a lawful subpoena. We will notify you where legally permitted to do so.

Business transfers

If Cloud Ninja Dev is ever acquired, merged, or undergoes a significant ownership change, your information may be transferred as part of that transaction. We will notify you before that happens and give you the option to have your data deleted.

04

Cookies & Tracking

Our website uses a minimal number of cookies. We do not use advertising cookies or behavioural tracking cookies.

Cookies we use

  • Essential session cookies — required for the website to function correctly (no personal data stored)
  • Analytics cookies — used by our analytics tool to count page visits and understand traffic patterns. These are anonymised and do not identify you personally

You can control or disable cookies through your browser settings. Disabling analytics cookies won't affect your ability to use the website. Disabling all cookies may affect some minor functionality.

We do not use Facebook Pixel, Google Ads tracking, or any other advertising retargeting technology on this website.

05

Data Security

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, misuse, or alteration.

  • All data is transmitted over HTTPS — your connection to our website is encrypted
  • Contact form submissions are delivered over encrypted channels
  • We use strong, unique passwords and two-factor authentication on all service accounts
  • Client project files are stored in access-controlled environments
  • We review and update our security practices regularly

No method of electronic transmission or storage is 100% secure. While we do our best to protect your data, we cannot guarantee absolute security. If you have reason to believe your interaction with us has been compromised, please contact us immediately.

06

Your Rights

Depending on where you're located, you may have the following rights regarding your personal data:

  • Right of access — you can request a copy of the personal data we hold about you
  • Right to rectification — you can ask us to correct any inaccurate information
  • Right to erasure — you can ask us to delete your personal data (subject to any legal obligations we may have to retain it)
  • Right to restriction — you can ask us to stop using your data in certain ways
  • Right to portability — you can ask us to provide your data in a machine-readable format
  • Right to object — you can object to us processing your data for specific purposes

To exercise any of these rights, email us at hello@cloudninjadev.com with the subject line "Privacy Request". We will respond within 30 days.

If you are located in the European Economic Area, you also have the right to lodge a complaint with your local data protection authority.

07

Data Retention

We keep your data only as long as necessary:

  • Contact form enquiries that did not lead to a project: deleted after 12 months
  • Client project communications and files: retained for 3 years after project completion, then deleted unless you request earlier deletion
  • Invoice and payment records: retained for 7 years to comply with financial regulations
  • Website analytics data: retained in anonymised, aggregated form only — no personal identifiers

You can request earlier deletion of any data that is not subject to a legal retention requirement by contacting us at hello@cloudninjadev.com.

09

Children's Privacy

Our services are intended for business use by adults. We do not knowingly collect personal information from children under the age of 16. If you believe a child under 16 has provided us with personal information, please contact us and we will delete it promptly.

10

Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices, the law, or how we operate. When we make material changes, we will update the "Last updated" date at the top of this page.

We encourage you to review this page periodically. Your continued use of our website after any changes constitutes your acceptance of the updated policy.
